Send the test script before the meeting
Choose one launch program and prepare a short fictional journey with your clinical partner. State that the demo must not create a live consultation, charge, prescription or pharmacy shipment. Ask which environment supports safe testing and which steps can only be shown through a recording or documentation. Use no patient information in an ordinary sales screen share. If a production action cannot be safely tested, mark it untested and request another form of evidence.
Invite the people who will run support, clinical coordination, finance and technical integrations. Assign one note taker. Give each attendee a task to inspect rather than letting everyone watch the same overview. The vendor should know your launch scope and required integrations before the call. A demo for another business model can be informative without answering your purchase questions.
Follow one journey across every handoff
Start on a mobile screen. Complete intake, inspect what the user is told about next steps and follow the submission into the staff queue. Ask the vendor to show the relevant clinical handoff, the nonclinical order view and the patient-facing update. Record where a person needs to intervene. Show a renewal separately, because the first-order path may not demonstrate how recurring activity works.
Ask what each status means, what event changes it and which system supplies it. Bask's documentation distinguishes patient, provider, order, payment and fulfillment statuses. That is an example of why a single label such as pending can be insufficient for an operating team. Test whether your staff can tell the difference between waiting for clinical review and waiting for payment without opening information outside their role.

Make the exceptions part of the demonstration
Ask for demonstrations of incomplete intake, a clinical decline, a failed payment, a cancellation request, a delayed fulfillment update and an unavailable integration. Let the clinical partner define the appropriate clinical test cases. Your question is how the system routes and records decisions, not whether the vendor's salesperson can explain medical eligibility. Track what patients see and which queue receives work.
For each exception, identify the recovery action and the person allowed to perform it. Test whether retrying creates a duplicate task or charge, whether a refund has a recorded reason and whether support can find the last communication. These are acceptance questions, not assertions that a particular vendor has a defect. Connect the test script to your support escalation plan so a feature has an operating owner.
Inspect permissions and exports with the intended users
Switch roles during the demo. Ask to see a support user's view, an administrator's view and the clinical user's view with approved test information. Show how a user is invited, restricted and removed. Bask's team documentation describes assigning and changing permissions and suspending or removing users. That public documentation still needs a demonstration of the permission set proposed for your brand.
Ask for an authorized sample export with its field dictionary, date format and identifiers. A screenshot of a chart is not evidence that the required data can be transferred. HHS describes access and audit safeguards for regulated entities' electronic protected health information. Have the relevant privacy and clinical owners assess the access configuration; do not assume that giving every founder administrator access is appropriate.

Turn observations into acceptance conditions
Use four evidence labels: demonstrated, documented, promised and unknown. Record the environment, product version if supplied, observer and date. A promised function should include its expected delivery, cost, dependencies and consequence if it is not delivered. Do not combine it with an available function in a score that makes the gap disappear. Weight your mandatory scenarios before the demo, not after a persuasive presentation.
End with the smallest set of unresolved items that can change your decision. Request a repeat demonstration, written scope or sample contract as appropriate. Keep the evidence log with the purchase decision so your implementation team can distinguish the agreed launch system from sales conversation possibilities.

- Record promised functionality separately.
- Assign an acceptance owner to each mandatory scenario.
- Resolve decision-changing gaps before contracting.
